Imagine you’re doing a building assessment, using the traditional method: pen and paper.
There are 100 doors in the building you’re assessing, and 30 aren’t locked. How will you note that? Will you write the same comment over and over in the margins of your questionnaire? That will take time — both when you’re actually doing the assessment and when you’re deciphering your notes and writing your report later on.
While using software speeds up the building assessment process considerably (all your photos, notes, and checklists are in one place, and you don’t need to take the time to write up a report later), making comments, however, can still slow you down. This is especially true if you make the same comments over and over during an assessment. For example, we often see broken security cameras. If several of a building’s cameras don’t work, you’ll need to make the same comment over and over, something that can be cumbersome even with the benefit of technology.
Because repeat comments can be a stumbling block for assessors, we’ve launched a new feature that will make it easier for you to make the same comment quickly and accurately.
How can you assess more than one building without losing hours of time?
Introducing Recently Used Comments
Our new feature, Recently Used Comments, will let you choose from a menu of recent comments during your assessments.
This is helpful because often, even making comments using software can be labor-intensive.
Either you’re typing in the software, which can be time-consuming, or you’re using voice-to-text to make comments — and you may need to go back in and edit those comments later, if voice-to-text didn’t accurately capture your words.
Recently Used Comments offers you a choice of comments you’ve made before in a specific category. If you’ve pointed out that a camera isn’t working, you can click on the icon just to the right of the comment field, and a list of your most recent comments on cameras will appear. Then, simply choose the one that applies.
Just like that, your comment is made, and you can move on to the next camera.
